Adding Org Charts, Graphs and Diagrams to a Presentation

Introduction

To effectively highlight information or clearly display data in your presentation, you may want to:

  • Draw a flowchart
  • Create a diagram
  • Insert an Organization Chart

The Drawing Toolbar

Open Microsoft PowerPoint.

Navigate to the Drawing toolbar, which is located at the bottom of the PowerPoint window. If the Drawing toolbar is not visible, navigate to View --> Toolbars and select Drawing.

Note: For Microsoft PowerPoint 2000, the Insert Diagram or Organization Chart options are not part of the Drawing Toolbar. However, both options can be reached from the Insert menu.

Draw a Flowchart - Create Shapes

Create a flowchart by selecting AutoShapes --> Basic Shapes from the Drawing toolbar. Select a shape, then click on the slide. Drag and release the mouse to draw the shape. To position the shape, you may click and drag, or select it and use the arrow keys.

To add additional shapes, you can then copy and paste the shape already created, or create new shapes using the steps above.

To change the color of a shape, click on the Fill Color icon in the Drawing toolbar or double-click on the shape to access the Format Shape pop-up window.

Draw a Flowchart - Add Connectors

On the Drawing toolbar, click AutoShapes, point to Connectors, and then click the connector line you want to use.
Point to the location on a shape where you want to lock the Connector.
Connection Sites appear as blue circles as you pass your cursor over a shape.

Click the first connection site you want, point to the Connection Site of another shape, then click your mouse.

To change the style of a connector, Select the line or Connector you want to change. Click on the Line Style icon in the Drawing toolbar.

To change the color of a connector, Select the line or connector you want to change. Click on the Line Color icon in the Drawing Toolbar.

Draw a Flowchart - Add Text to the Shapes

Right-click on the shape, click Edit Text, and start typing.

Create a Diagram

On the Drawing toolbar, click the Insert Diagram button.  screen shot

Then select from one of the following diagram types: Venn, Cycle, Pyramid, Target
or Radial. Click OK.

Use the Diagram toolbar to add more shapes, change the layout, or change the diagram type. If the toolbar is not visible, click on the diagram.

If you want to add a preset design scheme, click AutoFormat button screen shot on the Diagram toolbar, and select a style from the Diagram Style Gallery. Click outside the drawing when you are finished.

Inserting an Organization Chart

On the Drawing Toolbar, click the Insert Diagram button. screen shot And select the Organization Chart button.

Use the Organization Chart dialog box to add additional boxes or change the layout.

Change the color and other properties of the boxes by double-clicking on each box to get the Format AutoShape pop-up window.
